Running standard reports

This article explains how to run any standard report. For descriptions of specific reports, see the appropriate article following this one.

To run a standard report

  1. Go to Analytics > Standard Reports .
  2. Select the desired report.
    The report list is sorted into groups. If you don’t see the report you want, it might be hidden. Right-click anywhere in the list and choose Show hidden groups and reports .

  3. To specify the level at which report data will be shown, use the Account Level menu. By default, All account levels are selected.
  4. To define an account range for reports, use the Start Account and End account menus by clicking Select. By default, the lowest and highest possible accounts are selected.

    The Account Level Selection field setting on the Administration > Configuration > Reporting tab determines which account level is used for the Start Account and End Account fields for filtering report results. You can ignore the Account Level Selection setting by typing an account name in the Start Account and End Account fields.

  5. To define the date range for a report, use the Date Range menu to select a range. The range you select will show the start and end dates in the fields below. You can click the calendar icons to adjust the dates, which will show a Custom date range.
    The Previous Period is the accounting period (usually a calendar month) that just closed. The Current Period is the period in progress, not yet closed.

    For Monthly services, Charge data in reports is available on the last day of the period. If you want to see Charge data for the first few days of the current month, select an End Date of the last day of the month.

  6. If this is a period report, select an accounting period with the Accounting Year and Accounting Period menus.
    If you’ve enabled the Flexible Accounting Day option, you can also specify an Accounting Day here. For information about this option, see Configuring record data.
  7. For some standard reports, you can select a Show Chart option to add a bar graph of the spending for the requested reporting period to the first page of the report. For example, the first page of a Standard Invoice by Period report could look like this:

  8. To view the report results, click Run Report . To export them, click Export and choose a file format.
